A Receptionist is a front-office professional responsible for creating a positive first impression of an organization by welcoming visitors, managing communications, and providing administrative support. The Receptionist serves as the first point of contact for clients, visitors, employees, and business partners while ensuring the smooth and efficient operation of the reception area and front office.

 

Key Duties and Responsibilities

 

·         Welcome visitors, clients, and guests in a professional, courteous, and friendly manner.

·         Manage the reception desk and ensure the reception area remains clean, organized, and presentable at all times.

·         Answer, screen, and direct incoming telephone calls promptly and professionally.

·         Receive, record, and distribute incoming mail, courier deliveries, and official correspondence.

·         Maintain visitor registration records and issue visitor passes in accordance with company procedures.

·         Provide accurate information and direct visitors to the appropriate departments or personnel.

·         Schedule appointments, meetings, and conference room bookings as assigned.

·         Assist with administrative tasks, including photocopying, scanning, filing, data entry, and document preparation.

·         Maintain records of office supplies and coordinate replenishment when required.

·         Coordinate with security personnel, office support staff, and other departments to ensure smooth front-office operations.

·         Handle confidential information with professionalism and maintain privacy at all times.

·         Report any unusual incidents, customer complaints, or operational issues to the supervisor promptly.

·         Follow company policies, client procedures, and workplace health and safety regulations.

·         Maintain a professional appearance, discipline, punctuality, integrity, and courteous behavior at all times.

·         Perform any other duties assigned by management or the client representative.
